Description

The IT Manager will be responsible for managing the company's IT infrastructure and Systems Administrator, overseeing support services, and ensuring seamless operations across multiple regions (France, Belgium, Luxembourg). In addition to IT responsibilities, the role will also serve as the Data Privacy Country Representative for the region, liaising with the UK Data Privacy Team, and being a point of contact for local data privacy matters.

Key Responsibilities

IT Operations
  • Manage and guide the Systems Administrator, ensuring all IT-related tasks and employee requests are handled efficiently.
  • Oversee IT support services and troubleshoot employee queries regarding hardware, software, and network issues.
  • Manage the procurement, inventory, and maintenance of all IT equipment, including PCs, phones, and peripherals across the region.
  • Administer IT licences for employees and ensure proper access rights are managed.
  • Collaborate with the Systems Administrator to maintain the internal network and server infrastructure, supporting various European locations.
  • Support infrastructures such as switches, VLANs, routing, VOIP, and network security.
  • Implement IT security protocols and ensure compliance with data security regulations, including GDPR.
  • Develop disaster recovery plans and maintain regular system backups.
  • Manage vendor relationships and negotiate contracts for IT services, ensuring cost-effective solutions.
  • Oversee the IT budget, including CAPEX and OPEX, and perform cost-benefit analyses for IT upgrades.
  • Plan and execute IT projects, supporting the company's long-term digital objectives in coordination with the UK and European teams.
  • Draft and maintain IT documentation, including onboarding procedures, security protocols, and system guides for users.

Data Privacy (Under close collaboration with the UK Data Privacy Team)
  • Ensure localised data privacy training is delivered annually in France, Belgium, and Luxembourg, keeping a record of attendees and integrating new UK policies/procedures.
  • Follow up with stores on their data protection practices and provide necessary documentation and guidance.
  • Act as the point of contact for local staff on all data privacy matters, managing the local data privacy inbox.
  • Ensure incidents, data breaches, and Subject Access Requests (SARs) are properly reported and documented in coordination with the UK Data Privacy Team and local stakeholders.
  • Communicate with regulatory authorities like CNIL as necessary, ensuring yearly re-registration as the named data privacy representative for Lush France.
  • Assist in creating and reviewing data privacy policies (e.g., retention policies, deletion policies) and ensure these are aligned with company standards.

Skills, Knowledge and Expertise
  • Strong knowledge of IT infrastructure management, including hardware, software, and network systems.
  • Experience with Google Workspace, Office 365, Active Directory, and network tools like Cisco-Meraki and Fortinet FortiGate Firewall.
  • Knowledge of backup systems, particularly Veeam Backup, and proficiency in maintaining comprehensive IT documentation.
  • Preferred knowledge of data protection laws (especially GDPR) and experience handling data privacy-related tasks such as risk assessments, incident reporting, and regulatory communication.
  • Proven experience in leading IT teams across multiple regions and managing global IT operations.
  • Strong problem-solving skills and ability to communicate effectively with both technical and non-technical stakeholders.
  • Fluent in French and English, with the ability to liaise with CNIL and other local regulatory bodies.
