Job Description:

Airbus Commercial Aircraft is looking for an Assistant to the HO of Technical Data Support & Services Department (f/m) to join our Customer Services Department based in Toulouse, France.

Within Airbus Customers Services, Technical Data Support & Services (SID) is in charge of defining, producing, delivering and supporting the Technical Data (TD) products and services which are necessary for Customers to safely and efficiently operate their aircraft.

Technical Documentation is characterised by:
  • a vast amount of data
  • a direct impact on Airline operability
  • a direct link with the complexity and diversity of the A/C design, and configuration management "as designed" and "as maintained"
  • the numerous interfaces to manage to obtain source data, from Engineering or Suppliers
  • the complexity of the processes and associated tools
  • and finally being closely combined with the core competence Maintenance Operations (how A/C are maintained by operators)

SID is split into five Domains, with three Authoring Domains in charge of developing the content of the manuals (SIDC, SIDY and SIDS), one Domain for Tech Data Operations (SIDO) and SIDB focused on Programmes, Strategy and Governance. Technical Data is a transnational organisation with more than 580 collaborators located in 5 countries (France, Germany, UK, Spain and India) and a worldwide network with representatives in all regions.

The Assistant will be accountable for the support to Head of SID organisation in terms of:
  • Agenda management with organisation and prioritisation with customers meetings and internal and external requests
  • Implement and maintain procedures/administrative systems
  • Cascading of internal and external information in the organisation
  • Supporting internal and external events organisation

Your challenges:
  • Manage diaries and organize meetings and appointments
  • Deal with correspondence and phone calls
  • Manage filing systems and distribution list updated
  • Administer office stationeries
  • Order corporate gifts for Symposiums/Conferences or Customer visits
  • Support internal communication (TD eNewsletter, newcomers sessions, weblives, etc)
  • Book and arrange travel, transport and accommodation including visa application and invitation letter when required. Create expense reports accordingly
  • Organize team boosters and team events for SID/SIDB
  • Prepare and support new arrivals in SID/SIDB team (newcomers, trainees, appendices): request for move, IT access, business cards.
  • Coordinate with ISR as necessary for computer /IT needs
  • Create, follow up and manage purchase orders using the internal ordering tool
  • Folllow-up/dispatch OIT (Operator Information Telex) in Alcom applications
  • Support the SID Business support
  • Collaborate with Tech data worldwide network and other assistants (located in Toulouse, Hamburg, Filton and Madrid)

Your boarding pass:

  • English mandatory, ability to work in an international environment
  • Strong organisational skills, reliable, take ownership
  • Flexibility, ability to adapt in a versatile environment
  • Good communication skills/act as a team player, dynamism and positive attitude
  • Customer oriented mindset
  • Knowledge of the Airbus Customer Services environment is a plus
